Converting Requests | FieldCamp

Convert qualified service requests into jobs, estimates, or invoices in FieldCamp. Learn what data carries over, what happens after conversion, and best practices.

When to Convert a Request

A request is ready for conversion when:

  • The customer has approved the work or quote
  • Your team has gathered enough information to schedule or price the job
  • The request has moved through inspection and quoting stages in the pipeline

You do not need to wait for every stage. A simple request (like a repeat customer calling for their regular service) can be converted directly from "New Request" to a job.

AI-First: Convert from the Command Centre

Open the Command Centre and type:

  • "Convert request 45 to a job and schedule it for Tuesday at 10am"
  • "Create an estimate from request REQ-0032"
  • "Turn Sarah Johnson's request into a job, assign to Mike"

Three Conversion Options

From the request detail page, you can convert a request into:

Convert to Job

Creates a new job pre-filled with the request's data. Best for confirmed work that is ready to schedule.

What carries over:

Line ItemsProducts/services with quantities, rates, tax, and discounts

What you set during conversion:

  • Schedule (start/end date and time)
  • Assigned team member(s)
  • Job type or category
  • Any additional line items

After conversion, the job appears in your calendar and can be dispatched to your team.

Convert to Estimate

Creates a new estimate pre-filled with client info and line items, ready to send to the customer for approval.

What carries over:

  • Client info (name, email, phone, address)
  • Line items with quantities, rates, tax, and discounts
  • Notes and attachments
  • Custom properties and tags

What you set during conversion:

  • Estimate validity period
  • Payment terms
  • Cover letter or message to the customer
  • Any adjustments to line items

Once the customer approves the estimate, you can then convert it to a job for scheduling.

Convert to Invoice

Creates an invoice directly from the request. Best for simple, pre-agreed work where a formal estimate is not needed — for example, a repeat customer requesting their regular monthly service.

What carries over:

  • Client info and address
  • Line items with pricing
  • Notes and attachments

Conversion is not destructive. The original request stays in your system at the "Converted" stage. It serves as a historical record of how the work originated. You can always go back to the request to review the original inquiry details.

What Happens After Conversion

When you convert a request:

  1. The new record is created — a job, estimate, or invoice appears in the appropriate section of FieldCamp
  2. The request stage changes to "Converted" — it moves to the Converted column on the pipeline board
  3. The request and the new record are linked — you can navigate between them
  4. The request stays in your system — it is not deleted or archived automatically

If the conversion created a job, you can now:

If the conversion created an estimate, you can:

  • Review and send it to the customer
  • Track whether the customer approved or rejected it
  • Convert the approved estimate to a job later

Can you convert a request more than once? Yes. You can create multiple jobs or estimates from the same request. This is useful when a single request leads to multiple phases of work — for example, a home renovation that requires separate plumbing and electrical jobs.

Moving a Converted Request Back

You can change a request's stage at any time, even after conversion. Moving a "Converted" request back to "Quote Sent" or another earlier stage does not delete the job or estimate that was already created.

This is useful when:

  • A customer changes their mind after a job was created and you need to re-quote
  • You converted too early and need to gather more information
  • The original conversion was a mistake

Tip: After converting a request to a job, use the Command Centre to schedule it right away: "Schedule the job I just created for tomorrow at 9am, assign to Mike." This keeps your workflow moving without switching screens.
