Payroll review and export | FieldCamp
Review verified hours for a pay period in FieldCamp, approve each technician, and export payroll to CSV for Gusto, ADP or Paychex, or prepare a QuickBooks sync.
Payroll review is the last step before you pay. It totals the verified ledger for one pay period, shows what still needs your eyes, lets you approve technician by technician, and then exports the result.
Before you begin
- Payroll review is available to the Admin and Dispatcher tiers.
- Technician pay rates must be set in team management for gross pay to calculate.
- Resolve high-severity flags first. See the exception inbox.
- Overtime and holiday rules come from Timesheet settings.
Choose the pay period
Open Timesheet > Payroll review, then set the period in the picker. Payroll accepts a week or a custom range.
A custom range can cover at most one week. A wider range returns Date range too wide and no figures are shown until you narrow it.
Read the period totals
| Total | What it means |
|---|---|
| Regular hrs | Verified hours below the overtime trigger |
| Overtime | Hours above the trigger, costed at 1.5× |
| Paid travel | Travel that counts as paid — with the default rule, the first and last drive of the day |
| Work time | Time attributed to visits, with its share of paid time |
| Gross pay | Pre-tax total for the period |
Work the pre-payroll audit
Above the technician list, FieldCamp summarises what it found in this period — likely missed clock-outs, travel segments to confirm as paid, jobs that exceeded their estimate by 40% or more, and manual edits with strong GPS backing. When nothing is outstanding it says Everything checks out — ready to send.
Selecting any of those counts, or Walk me through, Approve auto-fixes or See full audit log, opens the exception inbox, where the actual corrections are made.
Approve technicians
The Per-tech breakdown table lists one row per technician:
Tech, Reg, OT, Travel, Work, Rate, Gross, Verified and Status.
- Review a row. Select the technician's name to open their day.
- Select Approve on that row. The status changes to approved.
- A technician with open exceptions shows Resolve with the count instead of Approve. Clear the flags first.
- To approve everyone with no open flags at once, select Approve all clear.
The header keeps a running approved of total count, and switches to Ready to send when every row is approved.
Export payroll
- Select Export.
- Choose a format:
| Format | What you get |
|---|---|
| CSV (Gusto / ADP / Paychex) | A CSV download of the period's per-technician totals |
| QuickBooks Online sync | Prepared time entries for QuickBooks |
- Confirm the export.
If there is nothing in the period, FieldCamp tells you Nothing to export for this period rather than downloading an empty file. A QuickBooks sync reports how many entries were prepared.
When any technician still has unresolved high-severity exceptions, the export is blocked and a dialog lists who and how many. Choosing Export anyway proceeds and records the override on the period.
The QuickBooks route needs employees mapped on the QuickBooks side first — the export dialog shows Map employees first when that mapping is missing. See QuickBooks, Xero and Wave.
