FieldCamp Task Management – Quick Reference Guide
Overview
Manage all your work assignments, deadlines, and team activities in one place. Access your tasks by navigating to Inbox → Tasks tab.
Prerequisites
Active FieldCamp account
Assigned role (Technician, Dispatcher, or Admin)
Access to Inbox → Tasks section
Role Permissions
Admins: Can view, create, edit, delete, and assign any task to anyone.
Dispatchers: Can manage and assign tasks within their team, edit team or their own tasks, and delete or reassign only their own.
Technicians: Can only see and complete tasks assigned to them, and may create personal reminders for themselves—but CANNOT assign tasks to others or create tasks for teammates.
Task Organization
FieldCamp automatically groups tasks for easy navigation:
Overdue (Red): Task past its due date—needs immediate action.
Today: Due by the end of the current day.
This Week: Active during the current week.
Upcoming: Future scheduled tasks.
Creating Tasks
How to Create a Task
Click Add Task button on the right side of your Inbox or Tasks tab
The Create Task form opens
Fill out the task details:
Enter the Title (required) for the new task
Provide Instructions with any needed details or notes
Set the Priority (Normal, High, etc.)
Pick a Category relevant to the work (like "Follow Up")
Link the task:
Choose to link to Client, Job, Estimate, or Invoice
Select the Job, Estimate, or Invoice from the dropdown based on your link selection
Assign the task to a specific team member from the dropdown
(Optional) Check the box to email the team about the assignment
Schedule the task:
Set the date and time
Select the duration, or mark it as "All day" or "Repeat task" if applicable
Set a Reminder:
Choose when: 1 day before, 1 hour before, 30 minutes before, 15 minutes before, 5 minutes, or none
Select type: Email, Push notification, or SMS
Review all details
Click Create Task to save it
Success Check: The task appears in the appropriate timeline section (Overdue, Today, This Week, or Upcoming) based on its due date.
Where to Find Your Tasks
In Inbox:
Click Inbox → Tasks tab to see all your tasks
In Client Details:
Open a client → Activity tab → Tasks section to see tasks linked to that client
In Job Details:
Open a job → Assets tab → Tasks section to see tasks linked to that job
Completing and Managing Tasks
Completing Your Assigned Tasks
1. Open your task list
Click Inbox in the left navigation bar
Select the Tasks tab
Success Check: You see tasks grouped into sections: Overdue (red), Today (orange), This Week, and Upcoming
2. Mark a task complete
Click the circle icon to the left of the task title
Success Check: The task text appears with a strikethrough and moves to your completed list. You see a confirmation message: "Task marked complete."
Task Status Indicators
Circle icon (empty): Pending
Strikethrough text: Marked done
Red text: Overdue
Filtering & Sorting
Sort by: Due date, Creation date, Assignee, Ascending and Descending
Filter by: Team member, All
Quick Tips
Start task titles with verbs (e.g., Call, Visit, Email)
Check your "Today" tasks first each morning
Complete and mark tasks as you finish them
Use repeating tasks for regular maintenance
Set reminders for anything time-sensitive
Common Task Types
Follow-up on Estimate: Title as "Follow up on [client] estimate #[number]"
Recurring Maintenance: Create task with "Repeat" frequency and assign to the regular responsible technician
Urgent Repair: Set priority to urgent, include all access/contact info, ensure responsible team is notified
Troubleshooting
Issue | Solution |
Task not visible | Reset filters to All Tasks → Expand all timeline sections (Overdue, Today, This Week, Upcoming) → Clear search field |
Can't delete task | Only admins/creators can delete; mark as complete instead, or contact your admin for deletion |
No email received | Check spam/junk folder → Verify team notification was selected when the task was created |
Can't assign to user | Technicians cannot assign to others → Dispatchers can only assign within their team → Verify your role allows assignment and the intended recipient is active |
Best Practices
Review your Tasks tab at the beginning and end of each workday
Keep titles actionable and clear
Use the Overdue and Today sections to prioritize
Contact your admin if you need permissions updated
