FieldCamp Messaging User Guide

Overview

The FieldCamp Messaging feature allows you to communicate with clients via SMS directly from the Inbox. Manage, track, and organize your client messages alongside emails, calls, and tasks for seamless business communication.

After reading this guide, you'll be able to:

  • Send and receive SMS messages from FieldCamp

  • Manage conversations with clients

  • Switch between multiple business phone numbers

  • Track message delivery and read status

  • Link messages to client profiles

  • Delete and organize conversations

Prerequisites

Before you begin, ensure you have:

  • Calls Addon enabled in your account

  • At least one SMS-enabled phone number purchased

  • Admin access (only Admins can send and receive messages)

Accessing the Messages Tab

  1. Open Inbox from the main navigation

  2. Click the Messages tab

  3. If you have multiple numbers, use the dropdown to select which number's conversations to view

Success Check: The inbox displays conversations for the selected number.

Core Features:

1. Viewing Conversations

FieldCamp orders the message list chronologically.

Each conversation tile shows:

  • Contact name or number

  • Recent message preview

  • Timestamp

  • Unread badge (blue dot for unread messages)

  • Status icons (sent, delivered, read, pending, failed)

2. Managing Phone Numbers

  1. Click the number dropdown at the top of the Messages tab

  2. Select which number you want to view conversations for

Note: Each number keeps its own separate message history.

Success Check: The conversation list updates to show messages for the selected number.

3. Sending Messages

Compose a New Message

  1. Click New Message in the Inbox header

  2. Fill out the message fields:


    From: Select which phone number to use

    To: Enter the client's number (international format is accepted)

    Message: Type your text (up to 1600 characters)

  3. Click Send

Success Check: Your message appears in the conversation thread with "Sending" or "Sent" status.

4. Reply to an Existing Conversation

  1. Open the relevant conversation

  2. Enter your response in the message field at the bottom

  3. Press Enter or click Send to send

Tip: Use Shift+Enter for a new line without sending.

Success Check: Your reply appears in the conversation thread with a timestamp.

5. Managing Conversations

Opening & Reviewing

Click any conversation to see:

  • Full message thread

  • All timestamps

  • Status indicators

  • Linked client information at the top

Success Check: The conversation opens showing the complete message history.

Marking as Read

FieldCamp marks messages as read automatically when you open a conversation.

Note: The sender may receive a read receipt.

6. Deleting Conversations

Single Delete:

  1. Hover over a conversation

  2. Click the trash icon

  3. Click Confirm in the deletion dialog

Success Check: The conversation disappears from your list.

Bulk Delete:

  1. Select checkboxes beside conversations you want to delete

  2. Click Delete in the header

  3. Click Confirm in the deletion dialog

Success Check: All selected conversations disappear from your list.

Warning: FieldCamp cannot restore deleted conversations.

7. Linking Unknown Numbers to Clients

  1. Open a message from an unknown number

  2. Click Add Client in the conversation header

  3. Complete the client details in the pop-up modal

  4. Click Save

Success Check: FieldCamp associates all messages from this number with the new client record, and the client name appears in the conversation.

8. Message Status Indicators

Customer Support

Handling customer support messages:

  • Open the conversation to review the full thread

  • Respond directly in the thread

  • FieldCamp retains all history for seamless follow-up

  • Start a new conversation or open an existing one as needed

Troubleshooting

Issue

Solution

"No phone numbers available"

Purchase an SMS-enabled number in SettingsAddonsCalls

Cannot send messages

1. Check Calls addon status is active
2. Verify number has SMS enabled
3. Confirm you have admin rights
4. Validate recipient number format

Messages not appearing

1. Refresh your page
2. Check you selected the correct active number
3. Confirm conversation was not deleted
4. Allow time for sync to complete

"Message delivery failed"

1. Review phone number validity
2. Check if recipient opted out
3. Verify network connection
4. Confirm account balance is sufficient

Cannot delete conversations

1. Ensure you have admin role
2. Verify conversations are selected
3. Refresh page if delete button is unresponsive
