Understanding the Calendar View

Overview

The Calendar View is your command center for visualizing and managing field service schedules. It provides multiple viewing modes to help you understand technician availability, job assignments, and daily logistics at a glance.

Calendar Layout Options

Week View (Calendar)

The standard Week View displays a 7-day calendar with days as columns and time slots as rows. Each day shows a timeline from midnight to midnight, with an "All-Day" row at the top for unscheduled visits. This view is ideal for getting a bird's-eye view of your entire week's schedule across all technicians.

Resource Day View

Resource Day View focuses on a single day with technicians as columns. Each column shows that technician's full schedule, including their shift hours, skills, and availability. The header displays each technician's avatar, name, skills, working hours for that day, and remaining available hours. This view is perfect for same-day dispatching and workload balancing.

Resource Week View

Similar to Resource Day View but spans the entire week. Each technician gets their own column showing all seven days of their schedule in a compact format.

Timeline View

Timeline View offers two sub-modes: Schedule View (all-day overview) and Hourly View (detailed hourly breakdown). It groups visits by technician and displays them in chronological order, making it easy to review route sequences and identify scheduling conflicts.

Map View

Map View visualizes technician routes geographically. It shows home locations, stop sequences, travel times, and route efficiency. Available in both Day and Week modes, this view helps optimize routing and minimize drive time.

Event Types and Color Coding

Confirmed Visits

Border Colors:

  • Green (Scheduled): Standard scheduled visits that are confirmed

  • Purple (Arrived): Technician has arrived at the location

  • Orange (In Transit): Technician is traveling to the job site

  • Goldenrod (Scheduled): Default scheduled state

  • Teal (In Progress): Work is actively being performed

  • Red (Cancelled): Visit has been cancelled

  • Blue (Completed/Unscheduled): Job is finished or not yet scheduled

AI-Suggested Visits (Pending)

Gradient Border: Pending AI suggestions display a red-to-blue gradient border, making them instantly recognizable as awaiting approval.

Yellow Border (Low Confidence): AI suggestions with confidence below 70% show a yellow border to indicate potential scheduling concerns.

Pink Border (Conflicts): Suggestions with detected conflicts (overlapping times, skill mismatches) appear with a pink border.

Accepted AI Visits

Solid Green Border: Once you accept an AI suggestion, it immediately changes to a solid green border and behaves like a confirmed visit.

Reading Event Cards

Standard Event Display

Each event card shows:

  • Customer Name at the top in bold

  • Location with a map pin icon

  • Time Range with a clock icon (e.g., "9:00 am - 11:00 am")

  • Duration and Travel Time at the bottom (e.g., "120 min • 15 min travel")

  • Travel Badge: A small car icon badge at the top-right shows travel time (e.g., "🚗 15m")

  • Skills Badge: Purple badge showing required skills (e.g., "HVAC +2" for multiple skills)

Compact View

For short events (less than 50px tall), the card displays a condensed format showing only the start time and customer name to maximize readability.

All-Day Events

Visits marked as "Any Time" appear in the dedicated All-Day row at the top of each day. They display as compact pills with the customer name and show a light background with a colored left border matching their status.

Overnight Events

Jobs that span midnight appear on both days. On the start day, the card shows "start time - 11:59 pm." On the end day, it displays "12:00 am - end time." This ensures continuity for night-shift work.

Filtering and Time Controls

Grid Granularity

Adjust the time slot size from 15 minutes to 3 hours using the Clock dropdown. Smaller intervals provide precision; larger intervals give better overview.

Full View vs. Business Hours

  • Full View: Shows 12:00 AM to 11:59 PM (entire 24-hour day)

  • Business Hours: Automatically adjusts to show only your company's configured business schedule, hiding non-working hours for a cleaner view

Unavailability Indicators

When a day is unavailable (business closed or technician day off), a diagonal stripe pattern overlays that time range. Hovering reveals the reason (e.g., "Business Closed - Sunday" or "Team Member Unavailable - Day Off").

Navigation and Date Selection

Use the Previous/Today/Next buttons to navigate by day or week depending on your view mode. Click the calendar icon to open a date picker for quick jumps to specific dates or weeks.

Tips for Effective Use

  • Same-Day Dispatching: Use Resource Day View to see real-time availability and quickly assign urgent jobs

  • Weekly Planning: Use Week View or Timeline Schedule View to plan routes and balance workloads

  • Route Optimization: Use Map View to visualize drive times and adjust stop sequences

  • Conflict Detection: Pink-bordered AI suggestions indicate potential conflicts—hover over them to see details

  • Multi-Technician Jobs: Visits with multiple assigned technicians show a badge (e.g., "3 members") and appear on each technician's schedule

Understanding Event Sources

Events come from three sources:

  • AI Suggestions: Generated by the AI dispatcher, pending your approval

  • Confirmed Visits: Manually scheduled or accepted AI suggestions synced to FieldCamp

  • Calendar Visits: Live visit data from the FieldCamp API, including in-progress and completed jobs

The calendar intelligently de-duplicates events so you never see the same job twice, and automatically refreshes to reflect the latest schedule changes.
