Welcome to FieldCamp’s Tax Management-a feature built to make tax handling effortless for your field service business. Whether you operate in a single city or across multiple regions, FieldCamp ensures your tax rates are accurate, up-to-date, and automatically applied to every job and invoice.

What Is Tax Management in FieldCamp?

Tax Management in FieldCamp allows you to define, apply, and automate tax rates for your services and products. With customizable tax settings, you can ensure that every job, invoice, and client interaction reflects the correct tax amount-no manual calculations needed.

Setting Up Tax in FieldCamp

1. Access Tax Settings

  • Click your username at the top-right corner of the dashboard.

  • Select Settings from the dropdown menu.

Navigate to the Tax section.

2. Add or Edit Tax Rates

Click “Add Tax” to create a new tax, or select an existing one to edit.

Here’s what you can configure:

Country & State

Choose the location where the tax applies. This helps when managing different rates for multi-region operations.

Tax Name

Give your tax a clear label (e.g., California State Tax, GST, NY Residential Tax).

Tax Rate & Effective Date

• Tax Rate (%): Enter the percentage (e.g., 7.5)

• Effective Date: Set when this tax goes into effect

Tax Application Rules

Check one or more of the following based on what the tax applies to:

• Apply to Goods/Products

• Apply to Business Services

• Apply to Residential Services

Tax Type: Inclusive vs. Exclusive

• Inclusive: Tax is already included in the listed price

• Exclusive: Tax is added on top of the price

Apply to All Items (Toggle)

Enable this to automatically apply this tax to every new item or service — or leave it off for manual selection.

Description (Optional)

Add notes about this tax, such as “For invoices over $500” or “City-specific surcharge.

Quickbooks Taxes (Optional)

If you’re integrating with accounting tools like QuickBooks, you can map this to an existing tax label there.

Once done, click “Add” to save the tax.

3. Assign Taxes to Jobs, Products, or Clients

  • When creating or editing a job, product, or client profile, select the appropriate tax rate from the tax dropdown.

  • You can set a default tax for all jobs, or customize it for specific services or clients as needed.

4. Automatic Tax Calculation on Invoices

  • When you generate an invoice or quote, FieldCamp automatically calculates and displays the correct tax based on your settings.

Taxes are itemized, ensuring clarity for both your team and your clients.

Best Practices

  • Standardize Tax Rates: Set up default taxes for your most common services to save time and reduce errors.

  • Stay Compliant: Regularly review and update your tax rates in FieldCamp to match current regulations.

  • Train Your Team: Make sure all staff understand how to apply and adjust tax rates within FieldCamp.

  • Review Invoices: Periodically check invoices for accuracy, especially after updating tax rates.
